By placing a reservation, you acknowledge that you have read and agree to abide by following the rules and regulations listed below and in our rental agreement. If you have any questions concerning these policies, contact us at 740-205-7723 or by email and we will review them with you before you make your reservation. We will also be sending our rental agreement via DocuSign to the renter once a reservation has been confirmed.
Booking: The Loft on Hunter, Woods, Homestead and Magnolia Nest renters must be 21 years of age. The Lodge renters must be 25 years of age and we require a security deposit of $250 (for the Lodge only). We request a copy of your driver’s license to verify your age. Details for where to mail the security deposit will be given at the time of booking. This deposit will be refunded back to you (minus any damage costs) one week after your departure.
A deposit of the first nights fee, tax plus a 6% service fee will be charged at the time of booking and the remaining balance and taxes will be charged 14 days prior to your scheduled arrival.
NOTE: By submitting your credit card, you give Cabins at Hickory Ridge permission to charge the credit card provided for the following for your stay per our rental agreement and also charges at the discretion of Cabins at Hickory Ridge upon check out due to property damage, theft, unusual/excessive cleaning expenses. Upon your arrival, notify us if you observe anything damaged or broken in or around the cabin. We would even suggest taking pictures. This is to prevent being held responsible for the damage and being charged to the credit card on file.
Pricing: Varies by rental based upon season and number of guests. The charges will be given to you when making your reservation. Misrepresentation of the number of guests on the property can result in an additional charge. We do allow one night stays with an additional cleaning charge. This will be added onto your reservation at the time of booking. We provide linens and one set of each bath towels and hot tub towels (for cabin) to each registered guest per 2 night stay.
Cancellations/Refunds: Cancellations made more than 14 days in advance of your arrival will receive a refund of 50%. Cancellations 14 days in advance of your arrival will not receive a refund. No refunds will be given for cancellations due to inclement weather, early departures, medical issues, or for loss of electricity, water or services that are out of our control (Acts of God/Mother Nature). We encourage all guests to consider purchasing travel insurance to protect your trip.
Check In/Check Out: All cabins have a check in time of 4:00 pm the date of your arrival and check out is at 11:00 am on the day of your departure. The Loft on Hunter and Magnolia Nest has a check in time of 3:00 pm and check out time of 10:00 am. You will receive a text the day of your arrival confirming if early check in is an option and instructions for keyless entry. If a physical key is offered and not returned, there will be a $50 replacement fee charged to the card on file. Late check out fee is $25 per each 30-minute increment without prior approval for late check out. We appreciate the sensitivity in allowing our team the time to clean and prepare the rental for the next guest.
Damages/Cleaning Fee: The rentals have been designed and furnished with the highest quality of materials and amenities. We expect that our guests will respect the inside, outside and surrounding property at all times. We reserve the right to charge you for any damages or excessive cleaning needed from your stay. If you notice any problems upon checking in, please notify us immediately to avoid being held responsible for any damages. See "Excessive Cleaning” clause below. NOTE: Dishwasher (if provided) must be loaded with any dirty dishes and started before check-out or a $50 fee will be charged to the credit card on file.
Amenities: Occasionally amenities, like appliances, fireplaces, or hot tubs, may require maintenance and/or repair. We will service or replace these amenities as quickly as possible. No rental concession or refunds will be given for time without these items. In addition, loss of electricity, water or other services out of our control will not result in a refund. Due to cleaning and servicing of the hot tub, sometimes it may not be up to full temperature at time of check in and require a few hours to heat. We will need access to service the hot tub as needed.
Hot Tubs: Each cabin has a private covered hot tub. The owner may check on it daily for health and safety reasons. Use of the hot tub is at your own discretion and risk. Guest acknowledges and accepts all responsibility for the safety of all individuals, approved or unapproved, including children while using hot tubs. Guest agrees to release all liability of Cabins at Hickory Ridge. Please review the hot tub rules with each member of your group. The rules are posted in each cabin. Each guest should shower before and after using a hot tub. Persons who have high blood pressure, skin sensitivities, or who might be pregnant are prohibited from using the hot tub. If in doubt, please consult your physician prior to using the hot tub. Drinking alcoholic beverages before or during the use of the hot tub is prohibited. If you have been drinking hot tubs can cause your blood pressure to rise. Do not wear jewelry into a hot tub due to the chemicals used. The chemicals in hot tubs can also affect color-treated hair or damage swimsuits. Upon arrival at your cabin if you have any questions or concerns after inspecting the hot tub please call our office.
Damages to Hot Tub/Cover: Hot tubs and their covers are inspected after each reservation. Please keep soaps, bubble baths, bath oils, alcohol and food away from the hot tubs. If these items are used in the hot tubs, an additional cleaning fee of $150+ could be assessed. Hot tub covers are easily damaged since they are largely constructed of a lightweight Styrofoam used to assist in easier removal. We ask that you inspect the hot tub for any damage upon your arrival and advise us immediately of any problems. Covers should be kept on the hot tubs and tethered/secured whenever the hot tub is not in use. When removing the hot tub cover, please place it in a safe location. Children and adults walking on the tops of hot tub covers WILL break the cover. These covers cost $450-$600 each and will be charged back to you if damages are discovered after you have checked out (other than those you have reported as being there at your arrival).
Emergency Exit Only: When staying at the Loft on Hunter, please refrain from using the balcony off of the kitchen. This exit is for emergency purposes only and not intended for guest use. Any violation of this can result in being asked to leave the premises. Guest agrees to hold Cabins at Hickory Ridge and its owner or agents harmless from injury should they violate this policy.
Personal Injury: Cabins at Hickory Ridge maintains their property with the utmost care and regard for guests safety. All guests are responsible for their own actions during the course of their stay and agrees to release and hold harmless Cabins at Hickory Ridge and its owners or agents, from damages or injuries to person or property by reason of any cause either in or around the premises.
Fireplace: Do not leave fireplace unattended. Please turn off when leaving the cabin. Our gas fireplaces are seasonal, open from Oct. 1- April 30.
Candles and/or Open Flames: No candles or other open flames, except for provided fireplace and flameless candles, are allowed inside the rentals.
Firepit: Do not leave fires burning unattended in outdoor fire-pit. Please extinguish fire when leaving cabin or before going to bed.
Pets: Pets are not permitted in or around the rentals. Sorry, we love our pets, but our rentals are not pet-friendly. There will be a $250 charge to credit card on file for pets on premises due to excessive/deep cleaning required for other guests with allergies.
Smoking: Smoking is NOT permitted in the rentals (including e-cigarettes). $250 charge to credit card on file due to excessive cleaning required. Smoking is allowed outside on the deck/patio area with proper disposal of cigarette butts. Do not throw cigarette butts in yard or wooded areas.
Excessive Cleaning: If excessive cleaning is required for reasons other than pet on premises or smoking inside, $100 will be charged to the credit card on file. Hunting/ATV’s/Firearms/Fireworks: Are not permitted at any time in or around Cabins at Hickory Ridge.
Property Use: Guest agrees that the Premises are to be used and occupied by Guest as a private dwelling, and for no other purpose. In the event of a change in occupancy, the approval from Cabins at Hickory Ridge is required in advance. No parties, receptions, large gatherings, weddings, or similar events are permitted without prior written authorization. Complaints of excessive noise and foul language or any other unlawful activity may result in immediate eviction from Premises. The entire amount of any rent, fees, and deposits will be forfeited if guest is evicted.
Owner and Renter further agree as follows: The Renter agrees to assume all responsibility for any accident, injury, or damage that may result in or about the premise, to persons or property, and that the Owner or agent of the premises shall not be held liable, or responsible for such injury, accident, or damage. Renter assumes the risk involved with the use of the hot tub and any and all other rental facilities and agrees to hold harmless and indemnify the owner from any and all claims and liability of any nature that may arise by reason of the use of the same renter or others using the same. Damages caused by the renter will be paid for by the renter. Inspection of the premises will be made by the Owner after termination of rental period.
All children must be under adult supervision at all times, and the renter will be responsible to compensate Owner for any damages caused by children occupying the rental premise.
Violation of any of the rules is grounds for immediate eviction and forfeiture of all rents.
